Privacy Policy

Effective Date: DECEMBER 26, 2025

This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Office-to-PDF conversion service (the “Service”).

1. Introduction

Welcome to Office2PDF (“we”, “our”, or “us”). We provide an online document conversion service that allows users to convert Office files (such as DOCX, XLSX, and PPTX) into PDF format.

We are committed to protecting your privacy and safeguarding your data in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR) where applicable. By using the Service, you agree to the terms described in this Privacy Policy.

2. Information We Collect

2.1 Files You Upload

When you use the Service, you may upload documents such as Microsoft Word, Excel, and PowerPoint files, as well as other supported Office formats. These files are processed solely for the purpose of performing the requested file conversion.

We do not inspect, analyze, or extract content from your files beyond what is technically required to complete the conversion process.

2.2 Automatically Collected Information

To operate the Service securely and reliably, we may collect limited technical data such as IP address, browser type, device type, operating system, request timestamps, file size, and file format (not file content).

3. How We Use Your Information

We use information strictly to:

  • Process and convert your files to PDF.
  • Deliver converted files to you.
  • Maintain system stability, prevent abuse, and troubleshoot issues.
  • Improve performance and reliability of the Service.

We do not sell your data, share your files for advertising, or use your content for AI training.

4. Data Encryption & Protection

We implement industry-standard encryption measures to protect your data both in transit and at rest.

  • All data transfers are encrypted using HTTPS (TLS).
  • Uploaded files are processed in isolated environments.
  • Temporary files are encrypted at rest where supported by the underlying infrastructure.
  • Access to systems is restricted to authorized processes only.

These measures are designed to reduce the risk of unauthorized access, disclosure, or alteration of your data.

5. File Storage & Retention

Uploaded files are stored only for the duration necessary to complete the requested conversion. Both original files and generated outputs are automatically deleted within 1 hour after processing.

We do not retain backups of uploaded files and do not use user content for training, analytics, or profiling purposes.

If you need immediate deletion, you may close your session or contact us.

6. Data Security

We apply appropriate technical and organizational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access.

  • Encrypted communication channels (HTTPS / TLS).
  • Logical and physical access controls.
  • Isolated processing environments.
  • Automated data lifecycle management and cleanup.

While no system can guarantee absolute security, we continuously review and improve our safeguards in accordance with industry best practices.

7. Third-Party Services

We may rely on trusted infrastructure and cloud service providers to operate the Service (such as hosting, storage, or content delivery services).

These providers act as data processors and are contractually obligated to process data solely on our instructions and in compliance with applicable data protection laws.

We use Stripe as our payment processor. Payment information is transmitted directly to Stripe and is not stored on our servers. Stripe acts as an independent data controller for payment processing and handles personal data in accordance with its own Privacy Policy.

8. Cookies & Tracking

We may use minimal cookies or local storage for session management and basic, aggregated analytics. We do not use advertising cookies or cross-site tracking for marketing purposes.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Request access to your personal data
  • Request correction or deletion of your data
  • Object to or restrict certain processing activities
  • Withdraw consent where processing is based on consent

To exercise any of these rights, please contact us using the information below.

10. Children’s Privacy

The Service is not intended for children under the age of 13 (or the minimum legal age in your jurisdiction). We do not knowingly collect personal data from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the Effective Date at the top of this page when changes are made. Continued use of the Service after updates indicates acceptance of the updated policy.
